User Roles and Permissions

HelloSMS uses predefined user roles to manage access and control which actions different members of your team can perform within the platform. This ensures that people only have the necessary permissions for their responsibilities, promoting security and organization.

The main user roles are Web User, Super User, and Administrator, along with two specific roles: Email User and Billing Administrator.

Overview of User Roles

Role

Primary Access & Permissions

Web User

This is the standard access role for individual use. It is designed for team members who need to manage their personal SMS activity.


System Access: Focuses on the core sending section, providing a view limited to their own activity and conversations.

Super User

This role has elevated access to manage important shared account assets. They can see almost everything and manage contact lists and blocked numbers.


Key Tasks: They can manage shared Contact Lists and the list of Blocked Numbers (the opt-out list).

Email User

This role cannot log in to the website. It's best for users who send messages via email.


System Access: They can only send SMS messages by emailing the platform, which is then converted to a text message.

Administrator

This role has full control over other people on the account. They are the user manager for the system, but cannot handle billing.


Key Tasks: They can add, remove, and change the roles of other people on the account.

Billing Administrator

This role handles the financial side of the account. They are an Administrator who also manages the account's money and billing.


Key Tasks: They can top up the SMS credit balance and request invoices for payment.

Owner

This is typically the account's original creator. The person with the final say over roles and overall account structure.


Key Tasks: They can change the role of any other user on the account.

By default, the system allows everyone to access all SMS, conversations, and campaigns. If you choose to restrict access, Web Users and Super Users can see and manage only the messages they personally send or receive. However, these restrictions do not apply to Administrators or the Owner, who maintain full visibility across the entire platform regardless of the setting chosen.

Control who can see messages with the Message Access setting on the Privacy & Data tab on Account Settings.
